Facilities Coordinator

In support of these tenets, The Office Operations team is seeking a Facilities Coordinator to handle day-to-day upkeep of our existing 75,000 square foot office space in the loop, growing to 100,000 square feet next fall. Our organized and process-driven team is focused on providing excellent hospitality to 350+ employees, and we’re looking for a tech-savvy and mechanically inclined individual who demonstrates a passion for elevating our level of service.
Location: Chicago, IL
Hours: 9 a.m. – 5 p.m., Monday through Friday, with occasional OT or shifted hours for vendor meetings and events (flexibility required)
Responsibilities:
- Proactively ensure Optiver’s office space remains a clean, safe and attractive environment
- Directly support the Office Operations Team with ensuring smooth day-to-day operation of the facility, including facilitating support resolution with external parties
- Act as the contact for building services and complete maintenance checklists/safety walkthroughs on schedule
- Respond to employee requests and concerns from a variety of channels in a timely manner
- Troubleshoot issues with physical office furniture/fixtures and escalate to external vendors when needed
- Foster and build positive relationships with clients, visitors and leadership (both within the firm and with external visitors)
- Thoroughly and accurately record tasks, processes, complaints and recurring duties using Atlassian products (JIRA and Wiki)
- Liaise with building engineers, janitorial staff, maintenance vendors and suppliers for facility-related services, filing work orders and following up on outstanding requests
- Act as facilitator for internal moves, long-term visitors and new hires, including coordinating the reset of workstations after departures
- Support the Travel & Events coordinator by prepping common areas for events and meetings
- Return common areas to normal setup post-event, including relocation of furniture
- Support catering operations by maintaining sanitary service areas and functional equipment
(may include warewashing, cleaning counters, daily closeout of food service, maintenance of catering equipment) - Schedule and provide escort for onsite vendors, adhering to all security policies and procedures
- Assist with monthly credit card and lease statement reconciliation
Skills and Qualifications:
- High school diploma or equivalent
- 2 years in facilities, preferably in a corporate setting with 300+ occupants
- Teamwork-oriented and enthusiastic about helping others
- Exceptional attention to detail and professionally-mannered
- Adds value to customer/client experience and meets expectations in a timely manner
- Proficiency with Microsoft Suite, specifically Excel
- Familiarity with Atlassian products (Wiki, JIRA) and other ticketing systems (Angus, Workspeed) preferred.
- Ability to quickly learn and utilize new technology and platforms
- Strong written and verbal communication skills
- Ability to stand for prolonged hours and perform physical tasks: lift 50 pounds, stoop, bend, reach above your head, climb a step stool, etc.
